{"id":63880,"date":"2020-07-28T19:33:12","date_gmt":"2020-07-28T18:33:12","guid":{"rendered":"https:\/\/www.bullhorn.com\/eu\/?p=63880"},"modified":"2020-08-19T14:01:28","modified_gmt":"2020-08-19T13:01:28","slug":"what-to-automate-recruitment-agency","status":"publish","type":"post","link":"https:\/\/www.bullhorn.com\/eu\/blog\/what-to-automate-recruitment-agency\/","title":{"rendered":"Uncovering What to Automate in Your Recruitment Agency"},"content":{"rendered":"<p>I\u2019m supposed to have a quirky intro paragraph about what to automate to get everything set up.<\/p>\n<p>But you didn\u2019t come here for a quirky paragraph, you came here to learn about what to automate in your staffing firm.<\/p>\n<p>So I\u2019m going to give the people what they want; on with the show.<\/p>\n<h3><strong>Where does it hurt?<\/strong><\/h3>\n<p>When times are great and business is good, it\u2019s easy to overlook gaps in your processes.<\/p>\n<p>A missed connection here, an errant email there \u2013 these things may not seem like a big deal. But for candidates, contractors and clients, they can mean a lot and will lead to relationships turning sour.<\/p>\n<p>Now consider increased competition, shifting buyer behaviors and other environmental factors; can you ignore the gaps now?<\/p>\n<p>Understanding where you are today, will help you drive towards where you want to go. In other words, you\u2019re going to figure out where the gaps live in your process and use automation to fill them.<\/p>\n<p>A day doesn\u2019t go by where we don\u2019t hear a staffing firm say one of the following:<\/p>\n<ul>\n<li>I hadn\u2019t thought about that!<\/li>\n<li>If I automate this, can I automate that? (<a href=\"https:\/\/herefish.com\/blog\/recruiting-automation-examples\/\">Yes, yes you can<\/a>)<\/li>\n<li>You mean this will happen even if my recruiters forget? (Yes, yes it will)<\/li>\n<\/ul>\n<blockquote><p>Recruiting is a relationship business and those relationships are built on a human level; automation can augment these interactions<span>\u00a0<\/span><em>and<\/em><span>\u00a0<\/span>take the repetitive or time-sensitive tasks off of your collective plate.<\/p><\/blockquote>\n<p>Below are some common areas where we typically see gaps in our customer\u2019s processes:<\/p>\n<ul>\n<li>No communication around key dates and times. For example, not communicating leading up to an interview or start date.<\/li>\n<li>Field values are not updated during key changes in the recruiting cycle. For example, changing a candidate status from passive to active when they apply or forgetting to change a client status to \u2018Customer\u2019 after they sign.<\/li>\n<li>Lapses in client communication. For example, an active client hasn\u2019t sent a new req in 30 days or not collecting feedback about recent hires from hiring managers.<\/li>\n<li>Manual activity can lead to errors or delays. For example, sending emails manually or onboarding documentation.<\/li>\n<\/ul>\n<p>The list goes on, but essentially there are areas that can go unnoticed for\u00a0<i>years <\/i>because\u00a0they are seen as minor or fly under the radar altogether.<\/p>\n<p>In reality, the other end of that communication lapse \u2013 candidates, contractors, and clients \u2013 see it as a negative experience, knocking the chances of working with your company down a few pegs.<\/p>\n<h3><strong>Figuring out the \u2018why\u2019<\/strong><\/h3>\n<p>So we\u2019ve looked at where automation can squeeze into staffing process gaps, now let\u2019s look at the why.<\/p>\n<p>This is actually the fun part; digging into why things aren\u2019t happening the way they should.<\/p>\n<p><em>Why are new hires falling off?<\/em><span>\u00a0<\/span>Because they weren\u2019t contacted during the first few days of their assignment<\/p>\n<p><em>Why do we have candidates off contract with a current status of \u2018Placed\u2019?<\/em><span>\u00a0<\/span>Because changing it is a manual process and other things got in the way.<\/p>\n<p><em>Why is our database full of inactive candidates?<\/em><span>\u00a0<\/span>Because they were sourced and never communicated with, so we\u2019ll just hold on to them\u2026FOR-E-VER<\/p>\n<p>The \u2018why\u2019s\u2019 are easy once you know where they are rooted.<\/p>\n<h3><strong>Let\u2019s fix it<\/strong><\/h3>\n<p>Automation is going to be a big part of the digital transformation in staffing firms and all of the above examples are perfect work for robots.<\/p>\n<p>Below are general rules for when to automate processes or communication in your staffing firm:<\/p>\n<ul>\n<li>Automate repetitive processes: Things like<span>\u00a0<\/span><a href=\"https:\/\/herefish.com\/automations\/data-hygiene\/\">updating field values<\/a>, adding notes, or sending messages.<\/li>\n<li>Automate things that happen every day: Things like messaging new applicants or interview prep.<\/li>\n<li>Automate around key dates: Things like<span>\u00a0<\/span><a href=\"https:\/\/herefish.com\/automations\/interview-confirmation\/\">pre-interview information<\/a><span>\u00a0<\/span>sequences or first-day need-to-knows<\/li>\n<li>Automate alerts when things go wrong: Things like receiving a bad satisfaction score from a client or if a consultant hasn\u2019t been contacted in more than 60 days.<\/li>\n<li>Automate data hygiene: Things like finding old records or automating the<span>\u00a0<\/span><a href=\"https:\/\/herefish.com\/automations\/data-hygiene\/\">data update process.<\/a><\/li>\n<\/ul>\n<p>While we\u2019re big fans of automation, there are some cases where you may<span>\u00a0<\/span><strong>not<span>\u00a0<\/span><\/strong>want to put robots to work.<\/p>\n<h3><strong>If the use case requires a human decision<\/strong><span>\u00a0<\/span><\/h3>\n<p>While we\u2019re big fans of automating<span>\u00a0<\/span><em>around<\/em><span>\u00a0<\/span>key dates and decision points, at the end of the day there are some decisions that are better left to humans; accepting or rejecting candidates is one of those decision points.<\/p>\n<h3><strong>If the use case requires a human voice<\/strong><span>\u00a0<\/span><\/h3>\n<p>While Google is working on a voice assistant to book appointments, there is no substitute for human to human voice contact.
