Part of maintaining a clean and organised database is keeping your list of categories, specialties, and skills updated. When you\u2019re actively using these with candidates and jobs, you\u2019ll be able to accurately match candidates to jobs more quickly.<\/p>\n<p>Before we dig any deeper, let\u2019s clarify what each of these terms mean:<\/p>\n<ul>\n<li><strong>Category<\/strong>: A broad descriptor, sometimes corresponding to a job title or a line of business<\/li>\n<li><strong>Specialty<\/strong>: Typically only used when you staff for multiple lines of business; if the category is a line of business (e.g. Industrial), the specialty usually refers to the job title<\/li>\n<li><strong>Skill<\/strong>: Knowledge\/experience-based and can be shared across multiple categories or specialties<\/li>\n<\/ul>\n<p>Let\u2019s go over some best practices for using categories, specialties, and skills at your organisation.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62716\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/Category_Skills.png\" alt=\"Category_Skills\" width=\"724\" height=\"374\" \/>\n<h3><\/h3>\n<h3>Best Practices for Managing your Categories, Specialties, and Skills<\/h3>\n<p>Managing your categories, specialties, and skills depends on what works best for your company. If your company only handles a <a href=\"https:\/\/help.bullhorn.com\/s\/article\/How-do-I-organize-categories-skills-and-specialties-for-a-single-line-of-business\">single line of business<\/a>, you may not need to use specialties. However, for <a href=\"https:\/\/help.bullhorn.com\/s\/article\/How-do-I-organize-categories-skills-and-specialties-for-multiple-lines-of-business\">multiple lines of business<\/a>, we recommend using specialties as they can help further organise your categories and skills.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62717\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/Category_and_Skills.png\" alt=\"Category_and_Skills\" width=\"423\" height=\"407\" \/>\n<p>&nbsp;<\/p>\n<p>If you staff for multiple lines of business but do not use specialties, we recommend using an all-encompassing category (e.g., All IT Skills) under which to include that line of business\u2019 skills. By linking the skills to one category per line of business, it prevents duplication of your skills and makes maintenance much easier. In addition, when users want to add skills for a candidate or specify the skills required for a job, the skills are easy to find because users can just select the category for that line of business and see the relevant skills.<\/p>\n<p><span style=\"font-weight: 400\">If you opt not to create separate categories, you can also use a single category (e.g., <\/span><b>Other<\/b><span style=\"font-weight: 400\">), which will house all of your skills. There\u2019s no right or wrong way to go about handling your categories, specialties, and skills. Each way provides its own benefits.<\/span><\/p>\n<p><span style=\"font-weight: 400\">To add or edit a category, select the <\/span><b>Categories<\/b><span style=\"font-weight: 400\"> menu icon under your <\/span><i><span style=\"font-weight: 400\">Admin<\/span><\/i><span style=\"font-weight: 400\"> folder and click <\/span><b>Add Category<\/b><span style=\"font-weight: 400\">.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62718\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/add_category.png\" alt=\"add_category\" width=\"512\" height=\"210\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400\">From here you can add or update the name and add any relevant skills and specialties.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62719\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/update_candidate_skills.png\" alt=\"update_candidate_skills\" width=\"645\" height=\"559\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400\">An important note: if you edit the name of the category, all records with that category selected will be <\/span><b>automatically updated<\/b><span style=\"font-weight: 400\"> to the new category name, so make sure it won\u2019t result in incorrect data being associated to your records.<\/span><\/p>\n<p><span style=\"font-weight: 400\">This is the same screen you\u2019ll use to delete a category if needed. As a best practice, before deleting the category, you\u2019ll want to update the affected record. You can do this quickly by searching on your Candidate or Job list for records with that category.\u00a0<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62720\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/additional_candidate_criteria.png\" alt=\"additional_candidate_criteria\" width=\"512\" height=\"113\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400\">If our list is extensive and we want to narrow what records we\u2019ll be updating, we can add any additional search terms we need. Once we\u2019ve got the records we want to update, we\u2019ll <\/span><b>Select all matching records<\/b><span style=\"font-weight: 400\">, then from the <\/span><b>Selected<\/b><span style=\"font-weight: 400\"> drop-down, choose <\/span><b>Change Category<\/b><span style=\"font-weight: 400\">.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62721\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/change_category_candidate.png\" alt=\"change_category_candidate\" width=\"210\" height=\"163\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400\">From this prompt, we can replace the current category with the new category by clicking in the box and selecting the new category from the drop-down menu. If we are adding or removing a category, we can switch to that option before choosing from the drop-down menu.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-62722\" src=\"https:\/\/www.bullhorn.com\/wp-content\/uploads\/sites\/2\/2019\/10\/change_category_replace_candidate.png\" alt=\"change_category_replace_candidate\" width=\"465\" height=\"186\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400\">By updating the category on the records before we remove it, we keep our data accurate to make sure we\u2019ll be able to find records we\u2019re looking for in the future. Once a category is deleted, we can\u2019t search our list using the deleted category, so it can be difficult to find candidates to match to a job.<\/span><\/p>\n<p><span style=\"font-weight: 400\">If you update a category on a job and use our Open Source Career Portal (OSCP), you\u2019ll need to unpublish and republish the job for the change to take effect.<\/span><\/p>\n<h3><b>Published Job Categories\u00a0<\/b><\/h3>\n<p><span style=\"font-weight: 400\">So far, we\u2019ve focused on categories for internal use. These categories are used on both candidate and job records. The same list is used for the <\/span><b>Published Category<\/b><span style=\"font-weight: 400\"> that\u2019s used when publishing a job to the Open Source Career Portal (OSCP) or other job boards.
