Don\u2019t worry\u2014we\u2019ve summed up the most important information for you below. Read on to discover how to be an effective Bullhorn Administrator\u2014we cover everything from Bullhorn system settings that will make your users\u2019 lives easier to how field mappings and view layout relate to each other.\u00a0<\/span><\/p>\n<p><i><span style=\"font-weight: 400;\">Note: This webinar is intended for Bullhorn Administrators using the Corporate or Enterprise edition of Bullhorn<\/span><\/i><\/p>\n<h2>Optimising System Settings<\/h2>\n<p><span style=\"font-weight: 400;\">Among all the system settings, there are several that can be used to streamline workflow and make things easier for users. They include:<\/span><\/p>\n<p><b>1:29: Auto-update \u2018Date Available\u2019 on a candidate<\/b><\/p>\n<p><span style=\"font-weight: 400;\">If your recruiters are spending time updating candidate records for their \u2018Date Available,\u2019 even though their Placement lists an end date, there\u2019s a setting that can help. Log into Bullhorn, click Admin folder, open System Settings, and filter on the keyword <\/span><b>auto<\/b><span style=\"font-weight: 400;\">. You\u2019ll want to look at the variable <\/span><b>autoUpdateCandidateDateAvailableOnPlacement<\/b><span style=\"font-weight: 400;\">. If you set the value to \u2018True\u2019 and save your settings, Bullhorn will automatically set the candidate&#8217;s date available field to the scheduled end date of the placement when creating a placement.<\/span><\/p>\n<p><b>3:32: Close jobs when Placements are created<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Under the same filtered list, locate <\/span><b>autoCloseJobOnPlacement<\/b><span style=\"font-weight: 400;\">. Set the value to &#8216;True&#8217; and click save. This setting will automatically close the job order when making a placement. This also removes it from the Open Source Career Portal.\u00a0 However, keep in mind that you will need to manually remove it from social media and other job boards, and if the job reopens, republish the job.\u00a0<\/span><\/p>\n<p><b>5:30: Automatically log emails as notes<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Want outbound emails to be automatically logged as notes instead of having to copy and paste them into a new note screen? Clear the filter settings and then filter by \u201cemail note.\u201d Select <\/span><b>defaultEmailNoteAction, <\/b><span style=\"font-weight: 400;\">which determines the default note action that will be used when logging an outgoing email as a note. The default value is blank, but if you enter \u2018Email\u2019 in the value field, all outgoing emails will track as notes. Save Changes.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Keep in mind, as a Bullhorn Administrator, you can also filter the system setting list by entity to find all the system settings related to that entity.\u00a0 This can be helpful if you don\u2019t know exactly what a system setting is called in Bullhorn.<\/span><\/p>\n<h2>Customising Your Lists of File Attachments, Appointment Types, and Notes<\/h2>\n<p>&nbsp;<\/p>\n<p><center><iframe loading=\"lazy\" width=\"560\" height=\"315\" src=\"https:\/\/www.youtube.com\/embed\/QDD8O_b9y4o?start=430\" frameborder=\"0\" allow=\"accelerometer; autoplay; encrypted-media; gyroscope; picture-in-picture\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/center>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\"><strong>7:10: Updating Types of File Attachments<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\">Under Admin &gt; System Settings &gt; filter for \u201cfile,\u201d and locate and expand \u201c<\/span><b>fileTypeList<\/b><span style=\"font-weight: 400;\">.\u201d Here, you\u2019ll see the types of files you might possibly attach to a candidate or contact record in Bullhorn (resumes, cover letters, copies passports, etc.). If you want to add a new type of file attachment, add it to the value box as a comma-separated value. Note that values will appear in Bullhorn in the same order they\u2019re input into the value box.\u00a0<\/span><\/p>\n<p><strong>9:08: Updating Appointment Type List<\/strong><\/p>\n<p><span style=\"font-weight: 400;\">Under Admin &gt; System Settings &gt; filter for \u201clist,\u201d and locate and expand \u201c<\/span><b>scheduleTypeList<\/b><span style=\"font-weight: 400;\">.\u201d Here, you\u2019ll see the types of values that appear in the drop-down list on the calendar edit appointment screen and filter list on the calendar main screen. If you want to add a new type of appointment type, add it to the value box as a comma-separated value. Like the file attachments above, remember that values will appear in Bullhorn in the same order they\u2019re input into the value box.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><strong>10:04: Updating Note Actions<\/strong><\/span><\/p>\n<p><span style=\"font-weight: 400;\"> Under Admin &gt; System Settings &gt; filter for \u201cnote,\u201d and locate and expand \u201c<\/span><b>commentActionList<\/b><span style=\"font-weight: 400;\">.\u201d If you\u2019d like to add a new type of note action such as a Business Development call, add that value to the value box as a comma-separated value.<\/span><\/p>\n<h2>Maintaining Fields and Adding to Overview Cards<\/h2>\n<p>&nbsp;<\/p>\n<p><center><iframe loading=\"lazy\" width=\"560\" height=\"315\" src=\"https:\/\/www.youtube.com\/embed\/QDD8O_b9y4o?start=697\" frameborder=\"0\" allow=\"accelerometer; autoplay; encrypted-media; gyroscope; picture-in-picture\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/center>&nbsp;<\/p>\n<p><strong>11:37: Maintaining your list of fields<\/strong><\/p>\n<p><span style=\"font-weight: 400;\">Want to hide a field or change whether it\u2019s required or not? Navigate to Admin &gt; Field Mappings and expand the <\/span><b>Contact <\/b><span style=\"font-weight: 400;\">entity. When you search for an entity under the Contact card, you\u2019ll see a checkbox for \u201cHidden\u201d and a checkbox for \u201cRequired.\u201d In order to change the settings on that entity accordingly, simply check or uncheck those boxes. To check your work, you\u2019ll need to log out and log back in.<\/span><\/p>\n<p><strong>15:24: Adding Fields to Overview Cards<\/strong><\/p>\n<p><span style=\"font-weight: 400;\">Adding fields to Overview cards can help your users be more efficient and gives them quick access to important information.\u00a0 Please remember though that users cannot remove custom cards from the Overview tab if they were configured by a Bullhorn administrator, so make sure what you&#8217;re adding is relevant to all users. Here\u2019s an example using the Contact field.<\/span><\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">In Bullhorn, go to <\/span><b>Menu<\/b><span style=\"font-weight: 400;\"> &gt; <\/span><b>Admin<\/b><span style=\"font-weight: 400;\"> &gt; <\/span><b>View Layout<\/b><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">From the <\/span><i><span style=\"font-weight: 400;\">Field Map Entity<\/span><\/i><span style=\"font-weight: 400;\"> drop-down, select <\/span><b>Contact<\/b><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Click on the <\/span><b>Overview Tab<\/b><span style=\"font-weight: 400;\">\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Under <\/span><b>Custom Overview Card 1<\/b><span style=\"font-weight: 400;\">, select <\/span><b>Title (occupation)<\/b><span style=\"font-weight: 400;\"> from the <\/span><i><span style=\"font-weight: 400;\">Exclude From View<\/span><\/i><span style=\"font-weight: 400;\"> box<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Click the arrow to move it to the <\/span><b>Include In View<\/b><span style=\"font-weight: 400;\"> box<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Scroll to the bottom and click <\/span><b>Save. <\/b><span style=\"font-weight: 400;\">Make sure you log out of Bullhorn and back in to see your work!<\/span><\/li>\n<\/ul>\n<h2>Field Mappings v. View Layout<\/h2>\n<p>&nbsp;<\/p>\n<p><center><iframe loading=\"lazy\" width=\"560\" height=\"315\" src=\"https:\/\/www.youtube.com\/embed\/QDD8O_b9y4o?start=1054\" frameborder=\"0\" allow=\"accelerometer; autoplay; encrypted-media; gyroscope; picture-in-picture\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/center><br \/>\n<strong>17:34:\u00a0<\/strong><b>Field mappings<\/b><span style=\"font-weight: 400;\"> determine what appears on the record\u2019s edit screen. This is where a Bullhorn Administrator can go to add new fields, hide existing fields, display fields that are currently hidden and even set the sort order which determines where the field lands on the page.<\/span><\/p>\n<p>Bullhorn\u2019s <b>View Layout<\/b><span style=\"font-weight: 400;\"> tool determines what appears on the cards on a record\u2019s Overview tab.\u00a0 For fields to be available in View Layout, they must be unhidden in Field Mappings. It also controls what shows on Find results, when you type into the \u2018Find\u2019 field and hit enter to load the results in your workspace. Here\u2019s an example of how you can choose which fields appear on the cards on a record\u2019s overview:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Go to <\/span><b>Menu<\/b><span style=\"font-weight: 400;\"> &gt; <\/span><b>Admin<\/b> <span style=\"font-weight: 400;\">&gt; <\/span><b>View Layout<\/b><span style=\"font-weight: 400;\"> &gt; set <strong>Field Map Entity<\/strong> to <\/span><b>Candidate<\/b><\/li>\n<li><span style=\"font-weight: 400;\">Click on <\/span><b>Fast Find<\/b><\/li>\n<li><span style=\"font-weight: 400;\">You can move items between the Exclude and Include boxes to arrange the <\/span><b>Include in View<\/b><span style=\"font-weight: 400;\"> box to display the desired fields for your Fast Find results<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Add the <\/span><b>Email 1 <\/b><span style=\"font-weight: 400;\">field to the \u2018Include in View\u2019 box<\/span><\/li>\n<li><b><span style=\"font-weight: 400;\">Click <\/span>Save <span style=\"font-weight: 400;\">and log out and back into Bullhorn to see your changes reflected<\/span><\/b><\/li>\n<li style=\"list-style-type: none;\">\n<ul><\/ul>\n<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">The Default Columns on the \u2018List\u2019 tab determine what columns automatically appear on the list view. In this case, the Candidate list, as well as on Tearsheets.<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">While you\u2019re still in the <\/span><b>View Layout <\/b><span style=\"font-weight: 400;\">tool on the <\/span><b>Candidate <\/b><span style=\"font-weight: 400;\">Field Map Entity c<\/span><span style=\"font-weight: 400;\">lick on the <\/span><b>List<\/b><span style=\"font-weight: 400;\"> tab and in the <\/span><b>Default Columns<\/b><span style=\"font-weight: 400;\"> section, arrange the <\/span><b>Include in View<\/b><span style=\"font-weight: 400;\"> box as desired.\u00a0 You may want to add the <\/span><b>Email 1 <\/b><span style=\"font-weight: 400;\">field here as well.<\/span><\/li>\n<li><b><span style=\"font-weight: 400;\">Click <\/span>Save<\/b> <span style=\"font-weight: 400;\">and log out and back into Bullhorn to see your changes reflected<\/span><\/li>\n<li style=\"list-style-type: none;\">\n<ul><\/ul>\n<\/li>\n<\/ul>\n<ul><\/ul>\n<p>&nbsp;<\/p>\n<p><em><span style=\"font-weight: 400;\">Still looking for more information on Admin Settings?
