Here are some tips for separating these out from the data that you actually use. Remember, it&#8217;s about quality, not quantity! I have separated this into two aspects: how to clean up a database once it\u2019s a little messy and then setting some New Year&#8217;s resolutions to keep your Bullhorn database clean going forward.<\/p>\n<h2>Tidying up Your Bullhorn Database<\/h2>\n<h3>Search for records that are missing data and update or delete.<\/h3>\n<p>I\u2019d recommend making sure everyone has either a phone number or an email address associated with their record. Otherwise, how will you be able to contact them? You can find records that do not have a phone number on them by using the following Additional Search Criteria:<\/p>\n<p><i><span style=\"font-weight: 400;\">Phone Number &#8211; Exclude &#8211; 0 1 2 3 4 5 6 7 8 9<\/span><\/i><\/p>\n<p><b>Note:<\/b><span style=\"font-weight: 400;\"> Each number should be entered separately and then selected.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70684\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/deleting-records-without-phone-numbers-bullhorn.png\" alt=\"deleting records without phone numbers bullhorn\" width=\"624\" height=\"113\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">You can also use the Additional Search Criteria to <a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/How-do-I-find-all-the-candidates-in-my-database-without-email-addresses-1266852541?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\">search for all records that have no email address<\/a> by <\/span><i><span style=\"font-weight: 400;\">searching the email field for the @ symbol<\/span><\/i><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p>&nbsp;<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70685\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/deleting-records-without-email-addresses-bullhorn.png\" alt=\"\" width=\"624\" height=\"86\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">Once you have located these records you can update them quickly using the <\/span><b>Inline Edit<\/b><span style=\"font-weight: 400;\"> function.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70686\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/inline-edit-tool-bullhornm.png\" alt=\"inline edit tool bullhorn\" width=\"516\" height=\"189\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">Alternatively, <a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Mass-Deleting-Records-212728041?LS=Website&amp;LSD=CustomerBlog_NA&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\">you can <\/a><\/span><b>Mass Delete <\/b><span style=\"font-weight: 400;\">any records you will no longer need from the <\/span><i><span style=\"font-weight: 400;\">Selected<\/span><\/i><span style=\"font-weight: 400;\"> dropdown.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70687\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/mass-deleting-records-bullhorn.png\" alt=\"mass deleting records bullhorn\" width=\"512\" height=\"176\" \/>\n<p>&nbsp;<\/p>\n<h3>Locate and Archive records in your Bullhorn database you don\u2019t need right now<\/h3>\n<p>You can utilise a clever search term or two to locate older records; perhaps begin with Last Note or Date Last Modified as additional criteria with a date of your choice.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70688\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/last-note-bullhorn.png\" alt=\"last note bullhorn\" width=\"512\" height=\"103\" \/>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70689\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/date-last-modified-bullhorn.png\" alt=\"date last modified bullhorn\" width=\"512\" height=\"102\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">You don\u2019t have to delete these older records to hide them from the list view. Did you know<a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Archiving-a-Record-129550489?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\"> you can also <strong>Archive<\/strong> records to save them for later<\/a>? Think of it as tucking the records away into a filing cabinet, ready to retrieve if you need them. To do this, simply change the record\u2019s Status to <\/span><i><span style=\"font-weight: 400;\">Archive <\/span><\/i><span style=\"font-weight: 400;\">from the list view or the individual record<\/span><i><span style=\"font-weight: 400;\">.<\/span><\/i><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70690\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/archive-records-bullhorn.png\" alt=\"archive records bullhorn\" width=\"313\" height=\"118\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">They will only be visible if you either filter the <\/span><i><span style=\"font-weight: 400;\">Status<\/span><\/i><span style=\"font-weight: 400;\"> column on the list view for \u2018Archive\u2019 or search using this as Additional Search Criteria.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70691\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/located-archived-records-bullhorn.png\" alt=\"located archived records bullhorn\" width=\"512\" height=\"71\" \/>\n<p>&nbsp;<\/p>\n<p><b>Note:<\/b><span style=\"font-weight: 400;\"> To un-Archive a record, simply update the Status to anything else.<\/span><\/p>\n<h3>Merging Duplicate Records<\/h3>\n<p><span style=\"font-weight: 400;\">From time to time, you may encounter duplicate records added in error. Keeping all data to one record is important for email tracking and Note activity so I would recommend <a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Merging-Duplicate-Records-1429080359?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\">Merging any that you see<\/a>. You can do this easily:\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Choose one record to be \u2018Primary,\u2019 which will remain intact<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Enter the duplicate record to be \u2018Secondary\u2019<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The Notes, Emails, Tasks, Appointments, and File Attachments will be transferred from the Secondary record to the Primary record<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Once ready, use the Actions drop-down on the Primary record to Merge the two<\/span><\/li>\n<\/ul>\n<a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Merging-Duplicate-Records-1429080359?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-70692 size-full\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/merging-records-bullhorn.png\" alt=\"merging records bullhorn\" width=\"190\" height=\"215\" \/><\/a>\n<p>&nbsp;<\/p>\n<p><b>Note:<\/b><span style=\"font-weight: 400;\"> This is irreversible and the Secondary record will be deleted.<\/span><\/p>\n<h2>Setting Good Database Habits Moving Forward<\/h2>\n<p><i><span style=\"font-weight: 400;\">Note: Field Mappings and View Layout are not available on Bullhorn Team Edition<\/span><\/i><\/p>\n<h3>Check in with your Field Mappings<\/h3>\n<p><span style=\"font-weight: 400;\">Reviewing your Field Mappings regularly at Menu &gt; Admin &gt; Field Mappings. A few tweaks will really tidy up your Bullhorn database:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Make the important fields <\/span><i><span style=\"font-weight: 400;\">Required <\/span><\/i><span style=\"font-weight: 400;\">to ensure there are no half-empty records going forwards. I\u2019d recommend a combination of <\/span><i><span style=\"font-weight: 400;\">Mobile<\/span><\/i><span style=\"font-weight: 400;\">, <\/span><i><span style=\"font-weight: 400;\">Email, <\/span><\/i><span style=\"font-weight: 400;\">and <em>Post<\/em><\/span><i><span style=\"font-weight: 400;\">\u00a0Code<\/span><\/i><span style=\"font-weight: 400;\">\u00a0so that everyone can be contacted.<\/span><\/li>\n<\/ul>\n<a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Making-a-Field-Required-2124640160?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-70693 size-full\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/field-mappings-bullhorn.png\" alt=\"field mappings bullhorn\" width=\"512\" height=\"118\" \/><\/a>\n<p>&nbsp;<\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Hide fields you don\u2019t need to streamline the Add and Edit screens. An example I always suggest removing is Fax, as I\u2019ve never contacted anyone in this way!<\/span><\/li>\n<\/ul>\n<a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Showing-Hiding-and-Reordering-Fields-on-a-Record-2146653786?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-70694 size-full\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/remove-fields-bullhorn.png\" alt=\"remove fields bullhorn\" width=\"512\" height=\"113\" \/><\/a>\n<p>&nbsp;<\/p>\n<p><b>Note:<\/b><span style=\"font-weight: 400;\"> Make sure that no fields are both Required and Hidden; this might result in error messages when adding or editing a record<\/span><\/p>\n<h3>Change your view<\/h3>\n<p><span style=\"font-weight: 400;\">Once you have updated your Field Mappings, use the <\/span><i><span style=\"font-weight: 400;\">View Layout<\/span><\/i><span style=\"font-weight: 400;\"> in the <\/span><i><span style=\"font-weight: 400;\">Admin<\/span><\/i><span style=\"font-weight: 400;\"> folder to determine <\/span><i><span style=\"font-weight: 400;\">where<\/span><\/i><span style=\"font-weight: 400;\"> on the record you would like the field to appear. Select the entity and use the arrows to toggle between excluded from view and to include in view. Remember to save your changes!<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The <\/span><b>Profile Record tab<\/b><span style=\"font-weight: 400;\"> is my favourite\u2014you can add fields to the Header or Details card here.<\/span><\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-70695\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/01\/profile-record-tab-bullhorn.png\" alt=\"profile record tab bullhorn\" width=\"624\" height=\"270\" \/>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">Updating your <a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/Using-the-View-Layout-1112903035?LS=Website&amp;LSD=CustomerBlog_UK&amp;LA=CustomerBlog_UK_21_01_20&amp;LAD=CustomerBlog_UK_21_01_20&amp;utm_source=customerblog_uk&amp;utm_medium=website&amp;utm_campaign=customerblog_uk_21_01_20\">View Layout<\/a> won\u2019t affect any of your data, it is more a case of reorganising to make certain fields more visible at a glance. Remember, custom fields won\u2019t appear on the Overview tab automatically, so consider moving these to include in view after creation.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">These are some suggestions to start with, though other topics you could add to your spring cleaning list could be updating your list of Note Actions and reviewing your Categories and Skills regularly.
