How to Automatically Notify Submissions When the Job Closes<\/h3>\n

Follow these steps:<\/p>\n

  1. Click\u00a0Add Automation\u00a0<\/strong>and select \u2018Submission-based.\u2019<\/li>\n
  2. Name your automation. Maybe something like \u2018Auto Notify Submitted Candidates When Job Closes.\u2019\u00a0Click Save.<\/strong><\/li>\n
  3. Automation Enrollment will automatically open. Click\u00a0\u2018Create New List.\u2019<\/strong><\/li>\n
  4. Under List Settings, select \u2018Always Updated\u2019 as the type of list and then name your list.<\/li>\n
  5. Enter your search criteria using the dropdown under \u2018Total number of submissions that match this search.\u2019 Your search criteria should be:\n

    1. \u2018Submission Status’ is 1st Interview, 2nd Interview, 3rd Interview, Interested, or Client Rejected.\n
        \n
      1. These may differ depending on your client’s process. The goal here is to capture any status that may signal the candidate is still in the submission process.<\/em><\/li>\n<\/ol>\n<\/li>\n
      2. Set a date to search against. In this example, Billy set the search for\u00a0After June 1, 2020.<\/em><\/li>\n
      3. Add a second\u00a0And\u00a0<\/em>condition group and add \u2018Submission Job is Open\u2019 + ‘is’ + ‘No,’ which means the job has closed.<\/li>\n<\/ol>\n<\/li>\n
      4. Click\u00a0Save\u00a0<\/strong>under List Settings, then click\u00a0Save<\/strong>\u00a0under Automation Enrollment.<\/li>\n
      5. Click the plus sign to add a new step to your automation. Select \u2018Send Email.<\/strong>\u2018<\/li>\n
      6. Under Create Email. Then select \u2018From Scratch – Plain Text\u2019 to design the email notification.\n

        1. Under Email Settings, fill in your\u00a0Subject. <\/strong>Use Merge Tags to further customize your email with the Job Title.<\/li>\n
        2. Under \u2018From,\u2019 select who you would like the notification to come from. In this example, you\u2019ll likely want the notification to come from the Submission Owner.<\/li>\n
        3. Click\u00a0Save<\/strong>.<\/li>\n<\/ol>\n<\/li>\n
        4. Here is where you\u2019d write the copy for your email notification. This can be whatever you want, but make sure to click Save when you\u2019re done!\n

          1. Best practice tip: Let them down gently AND provide dynamic job links for other positions they might be interested in.<\/em><\/li>\n<\/ol>\n<\/li>\n
          2. Click the plus sign to add another step to your automation. Select \u2018Update Submission.<\/strong>\u2018<\/li>\n
          3. Under ‘Choose field to update,’ select Submission Status<\/strong> with the new value of Herefish Auto Close.\u00a0<\/strong>\n

            1. This is especially useful in updating and cleaning up your submission data.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n
