Your departments allow you to divide your teams by region, by role, or a combination of both in your lists, dashboards, and reports. They also allow you to hide data to segment your users based on their assigned departments.<\/p>\n<h3><b>Filtering Lists By Department<\/b><\/h3>\n<p>Let\u2019s start by discussing filtering your lists by department. When you\u2019re in a list, click into the Users dropdown to see your departments listed beneath the \u201cAll My Groups\u201d heading.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-73854\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_1.png\" alt=\"\" width=\"301\" height=\"233\" \/>\n<p>Select one or more departments to see the records owned by the members of those departments while hiding the records owned by the remaining users.<\/p>\n<p>You may notice multiple departments being automatically selected when you\u2019ve just selected one department. This happens because your users can be associated with more than one department.\u00a0<a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/ATS-When-I-filter-a-list-by-department-why-are-other-departments-automatically-selected\">Check out this Support article to learn why<\/a>.<\/p>\n<h3><b>Filtering Dashboards<\/b><\/h3>\n<p>There are many dashboard cards available in Bullhorn, and you\u2019ll find them in My Dashboard and directly in your lists. When in a list such as the Jobs List, you can switch from the list view to the dashboards using these buttons at the top.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-73855\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_2.png\" alt=\"\" width=\"406\" height=\"59\" srcset=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_2.png 406w, https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_2-300x44.png 300w\" sizes=\"auto, (max-width: 406px) 100vw, 406px\" \/>\n<p>Nearly all of the dashboards allow you to add filters to change what you\u2019re seeing, and many of them allow you to filter by department. Look for the Configure Card icon at the top right of the card to see the filtering options for that card.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-73853\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_3.png\" alt=\"\" width=\"376\" height=\"48\" srcset=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_3.png 376w, https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_3-300x38.png 300w\" sizes=\"auto, (max-width: 376px) 100vw, 376px\" \/>\n<p>When you add filters to a card, it\u2019s a good idea to rename the card, so you know which department you\u2019re looking at. In the screenshot below, the Jobs Without Coverage card has been renamed to \u201cUK Jobs without Submissions\u201d to show that it\u2019s looking at the jobs owned by members of the UK department and the Coverage Type we\u2019re looking for is Submissions.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-73852\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_4.png\" alt=\"\" width=\"590\" height=\"372\" srcset=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_4.png 590w, https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_4-300x189.png 300w\" sizes=\"auto, (max-width: 590px) 100vw, 590px\" \/>\n<h3><b>Filtering Reports<\/b><\/h3>\n<p>The standard reports also allow you to filter your data by department and have a field on the Criteria page that will enable you to choose which department to focus on. Look for a field similar to this one on the Notes Activity Report.<\/p>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-73851\" src=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_5.png\" alt=\"\" width=\"466\" height=\"559\" srcset=\"https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_5.png 466w, https:\/\/www.bullhorn.com\/uk\/wp-content\/uploads\/sites\/2\/2021\/06\/support_5-250x300.png 250w\" sizes=\"auto, (max-width: 466px) 100vw, 466px\" \/>\n<p>However, you can also leave the Department field blank and run the report without any department filtering. The reports automatically group the data by department and allow you to drill down further into the data for each department when you want to see more information.<\/p>\n<p>It\u2019s important to consider how granular your reporting needs are when reviewing your departments. Departments are often set up by region (Boston, Seattle, New York) or by role (Sales, Recruiting, Payroll). Still, you may want to consider combining both to report more accurately on sales and recruiting activity by region.\u00a0<a href=\"https:\/\/help.bullhorn.com\/bhatsTopics\/s\/article\/ATS-Understanding-Departments-User-Types-and-Entitlements\">Here\u2019s an article that goes into more detail.<\/a><\/p>\n<h3><b>Segmenting Data by Department<\/b><\/h3>\n<p>Departments can be used to segment the data between your teams and hide data that users shouldn\u2019t be able to see.<\/p>\n<p>For example, you could segment your data so that users in the Recruiting department wouldn\u2019t see contact records owned by users in the Sales department. If you have your departments set up by region, you could add restrictions that would prevent users in the UK from seeing candidates based in the US and allow them to focus on the relevant candidates.<\/p>\n<p>Admin users and a few other user types can be given the \u201cView Any\u201d user type entitlements, which would allow them to view any records in the database. For example, the \u201cView Any Candidate\u201d entitlement enables users to see all candidates in the database, and they don\u2019t have to be in the same department as the record owner.
