Adopting AI-powered recruitment technology requires careful planning, thorough testing, and a deep understanding of your team’s day-to-day operations. Transitioning to an AI-enhanced workflow is highly rewarding, but the setup process can dictate whether your team embraces the technology or rejects it.

We sat down with recruitment leaders at our quarterly Automation & AI User Group to discuss practical tips for AI implementation, rollout, and adoption.

Make it simple enough for anyone to use

The most effective AI implementations are those that run seamlessly in the background. For instance, integrating telephony software with “smart actions” allows AI to listen for specific prompts, such as a candidate’s years of experience, and automatically populate that information into the CRM.

By making data capture essentially “idiot-proof,” consultants are more actively encouraged to get on the phone. They know that their administrative burden has been lifted, and that no crucial piece of information will be lost along the way.

Test with your toughest crowd

When testing new AI workflows or custom prompts, it is tempting to only involve your most tech-savvy consultants. However, the true test of any new system is how your least technical users interact with it.

Including veteran recruiters who tend to shy away from new technology in your user groups is a strategic advantage. They will ask the fundamental questions you might overlook, such as data privacy concerns around auto-formatting CVs, and often find surprisingly practical ways to optimise the user interface, such as colour-coordinating fields for better readability. If you can build an AI process that works for them, it will work for everyone.

Keep your automations working together

As you build out your AI capabilities and automated workflows, organisation is critical. Many agencies make the mistake of building automations in silos, which leads to overlapping workflows where one automation undermines another.

To prevent this, agencies should maintain an “automation tracker” or glossary. Mapping out exactly where automation and AI touch the candidate or client journey provides a bird’s-eye view of your operations. This ensures your tech stack remains a unified, streamlined ecosystem, rather than a tangled web of conflicting triggers, setting the foundation for scalable growth.
