The challenges

Veale emphasized the importance of process efficiency, always seeking technology that can remove friction and make his team as productive as possible. “A lot of the time, recruitment is about urgency. We joke that the deadline for everything is yesterday,” he said.

By equipping his team with AI Assistant, his aim was to remove productivity barriers and reduce reliance on others. “We’re not looking to replace people with AI. We’re just looking for a chance to amplify what consultants do well and raise the standards of what they don’t do so well,” explained Veale. His ultimate goal was to delegate tedious tasks to AI, allowing his recruiters to focus on work that is more meaningful, more enjoyable, and more impactful.

Beyond efficiency, Veale saw an opportunity to enhance the candidate experience. “We’ve seen from the [Bullhorn GRID Talent Report] that customers and candidates increasingly expect a more personalized experience from their recruiters,” said Veale. “We want to deliver on that—not just because it’s the right thing to do, but because it’s essential to staying competitive in the market.”

Veale believes that leveraging AI enables his team to provide a higher level of service to more people. “By using AI Assistant to draft more quality personalized messages and feedback, we keep more momentum in our processes” said Veale. “That helps enhance the overall experience for our consultants, candidates, and clients.”

Veale is committed to staying at the forefront of new technologies. “I want to be one of the first to implement new tech and figure out how to make it work.”

Meet Life Sciences had been a Bullhorn customer for over seven years, so when the opportunity came up to use Bullhorn’s new AI functionality right within their existing system and processes, it made perfect sense to give it a try.

“I knew that if our team had AI integrated within the Bullhorn platform, they’d be less likely to turn to ChatGPT or other tools. By keeping everything in that environment, they’d be more motivated to stay within the CRM and input data correctly,” said Veale. “Having successfully rolled out AI Assistant at another recruitment agency, it was a no-brainer that it needed to be done at Meet.”

The results

Increased efficiency through customized prompts – Veale has found that AI Assistant drastically improves his team’s efficiency. “If I need to send an email, in only two clicks I can get an updated template to use, and then effortlessly adjust it to my own tone of voice,” said Veale. “This takes what was a cumbersome process and makes it much more effective.”

Here’s another example: Veale’s team uses AI to make sending rejection emails to candidates a more efficient and personalized experience. “You can use AI Assistant to draft a rejection message that has relevant information from the candidate’s profile and the job spec,” explained Veale. “Then by quickly adding in any relevant points from interview feedback or call notes, you can make sure it’s a good, human experience for everyone involved in the process with a reasonable amount of effort.”

In addition to creating emails, the Meet Life Sciences team uses AI Assistant to create candidate profile summaries. “We received feedback that the candidate summaries were helpful, but sometimes users wanted them in paragraph form,” said Veale. “So I created a prompt that condenses the information into two paragraphs, highlighting key professional experiences. On the job vacancy side, I built a prompt to match our team’s structure, saving time and improving efficiency by automating most of the process.”

Next, the team plans to work with Meet’s marketing team to automate job description publishing, which will reduce friction by posting jobs automatically if they are not published within a set timeframe.

“AI Assistant makes it easier to personalize communications and allows consultants to do their best work at all times,” said Veale.

Simple to use – After Meet Life Sciences implemented AI Assistant, the team quickly recognized the benefits of its approachable design. Veale shared, “One thing I really appreciate about AI Assistant is how user-friendly it is. It doesn’t feel technically intimidating, whether you’re approaching someone who is tech-phobic or a top biller who is reluctant to adopt a new system. It’s intuitive and right there in front of you, making it easy for anyone to use.”

Beyond its ease of use, Veale emphasized that the rollout itself was straightforward. “With traditional recruitment technology, we have to be really conscious of whether we can roll it out due to the cost and the investment in training from a systems perspective. But with AI Assistant, once it’s up and running, it’s almost entirely integrated into what you’re already doing with Bullhorn.”

Inspired creativity – AI Assistant has proved fruitful in removing common barriers. “People often run into writer’s block – how do I write this message? The easiest fallback is usually an old, outdated template that’s been sitting around for years,” said Veale. “With the AI Assistant, we can help them create a first draft of a message or job description. It updates the content, includes the right information, and ensures it’s more aligned with what the client or candidate is looking for.”

AI Assistant can be used to prompt creativity in recruiters. Veale created a custom prompt within the vacancy search that is designed to suggest additional job titles that should be included in the broader search. “If you’re building out a search and feel stuck, you can click on this prompt, and it either suggests a relevant title or sparks an idea. It helps overcome that writer’s block, allowing you to keep the momentum going and focus on the tasks you’re ready to tackle that day,” explained Veale.

Enhanced training – In addition to preventing writer’s block, AI Assistant helps junior recruiters get up to speed faster. “The life sciences journey requires quite a lot of knowledge,” said Veale. “When somebody joins Meet Life Sciences, our consultants work together to make sure they impart as much industry knowledge onto the new hires as possible.” AI Assistant helps new consultants use the correct technical industry language and gets them up to speed faster than before.
