Gravity IT Resources broke the direct link between growth and hiring more staff, using Bullhorn Amplify. While keeping the team the same size, they could:
- Manage more jobs without adding staff
- Reduce time on administrative grind
- Focus on higher quality candidates and grow relationships
Gravity IT Resources is a mid-sized IT staffing firm based in Fort Lauderdale, Florida. With 50 team members, including recruiters and account managers, they specialize in high-demand IT placements across general IT, SAP, Workday, and ERP systems. Their business depends on speed and precision: finding the right person for the right role quickly, across multiple specialties.
THE CHALLENGE
Before Amplify, Gravity IT Resources faced a frustrating paradox: they wanted to grow, but did not have the bandwidth to accept more jobs. Opportunities were there, but their team spent so much time filling roles it was hard to add more jobs. “Our team’s biggest issue was simply time. There wasn’t enough time in the day to go and sort through all the data and find the answers, the candidates, the client information,” said Ali Schrader, director of marketing and Bullhorn champion at Gravity IT Solutions.
When trying to find ways for the team to work more efficiently, they realized the thing holding them back was the daily grind, explained Schrader. It was the essential but time-consuming tasks of searching for notes and records, entering job descriptions, or trying to find a resume that kept them stuck. That grind consumed the team’s days. Every candidate web application had to be manually screened—a time-intensive process that pulled recruiters away from what they do best: connecting the best candidates and clients.
The consequence was clear: with recruiters buried in administrative work, the team couldn’t take on significantly more jobs, even when the market demanded it. The team was maxed out, the business couldn’t scale efficiently.
“Before Amplify, we needed something that could speak to all our data and external web sources in one place,” Schrader explains. “Now, I can’t see our team operating without it.”
THE SOLUTION
Gravity made a deliberate plan to introduce Amplify.
Rather than issuing a training mandate, Schrader and the leadership team ran hands-on working sessions with the full team. They walked through real recruiter scenarios: how to find the top 10 candidates for a job. How to generate a polished resume from candidate notes already stored in Bullhorn. How to drop multiple candidate resumes into a single conversation and ask Amplify to compare them.
“By providing real-life use case workshops, we were able to get more buy-in from the team versus just sending them off and saying ‘This creates efficiencies.’” Schrader explained. “Instead, we sat with them for about 30 minutes once or twice a week working through real-life examples of recruiter use cases. That ultimately drove adoption.”
The approach paid off. One use case became the immediate hero: the Amplify Digital Worker, which Gravity’s team named “Pat” after their CEO’s mom, Patricia.
Pat doesn’t just screen; she filters, prioritizes, and creates a curated candidate pool. The recruiter’s job shifts from manually reviewing hundreds of applications to intelligently engaging the best fits. Instead of exiting the ATS to manage screening workflows, everything happens within Bullhorn.
As the team’s comfort grew, they expanded to other use cases: candidate matching for specific job requirements, submission packet creation, and eventually, custom prompts for their internal processes. The key was that each workflow stayed within the ATS, and each one saved time.
THE RESULTS
The impact was immediate: Gravity could finally say yes to more jobs.
Here’s how it worked: by automating pre-screening on a small number of jobs, the Digital Worker freed up 88 hours per month from candidate screening alone that were previously consumed by manual candidate review.
Instead of sifting through hundreds of applications, they now work with a curated, intelligent candidate pool. The team now has the bandwidth they’d been seeking.
“With the time back from Amplify, we can ultimately take on more jobs,” Schrader says. “Our team is able to look at higher quality candidates and not waste as much time with candidates that could be fraudulent.”
The shift changed the economics of growth. Previously, taking on more work meant hiring more people. Now, the same team could handle significantly more volume without headcount expansion.
Beyond the numbers, something else changed: the team’s daily experience. Recruiters went from feeling rushed to having space to be thoughtful. They began seeing Bullhorn not as a database to manage, but as a thinking partner, something that provides them instant, intelligent answers. It changed how people work, employee retention, and what’s possible.
“The team wasn’t just faster. They were better. They had space to be thoughtful about placements instead of rushed,” Schrader reflects.
LESSONS LEARNED
Focus on the biggest pain point first
With so many ways to apply Amplify, it’s tempting to experiment everywhere at once. Gravity’s approach was deliberately narrow: identify where your team spends the most time doing non-value work, then solve that first. Screening was the obvious candidate. It was time-consuming, repetitive, and had a clear ROI. Other use cases followed once the team saw the first win.
Real-world workshops drive adoption
Generic training didn’t create buy-in. Real-world scenarios do. When Gravity’s team saw how Amplify could immediately compare multiple candidates to determine the best ones to submit to a client, adoption wasn’t a change management exercise. It was rational self-interest.
Ease of use separates winners from the rest
As Schrader puts it: “The one thing that separates agencies that will win with AI from those that won’t is the ones that win will create ease of use. It’s a solution that makes sense. It sits between or within something that just isn’t tied together today. And it’s easy for someone who has never used it to launch it and begin using it right out of the box.”
Amplify lives inside the workflow, not alongside it, reducing friction and saving time.
Start simple, scale smart
Gravity proved one use case thoroughly before moving to the next. That staged approach reduced risk and built internal confidence. Now they’re moving to the next phase: pre-programmed prompts for common internal workflows. But they’re doing it after proving that the technology, the team, and the culture are ready.
LOOKING AHEAD
Gravity isn’t stopping at screening. The team is gathering feedback on what else they do repeatedly: generating job descriptions, creating intake summaries, building candidate packets, and building custom prompts so team members can launch these workflows instantly.
The next chapter for Gravity is about scaling what worked. The model is clear: identify friction, apply Amplify where it makes sense, measure the impact, then expand. They’re not trying to transform everything overnight. They’re proving that smaller, focused wins compound into significant capability.
