We recently sat down with Tom Perso, VP of Information Technology at Trillium Staffing, to talk about a challenge familiar to many agencies. Like many top firms, while Bullhorn serves as its primary platform for front-office activities like candidate and client management, its pay and bill operations are handled by a separate system, StaffSuite.

This approach offers many benefits, but it also creates a common challenge: a disconnect between a recruiter’s daily activity and the ultimate financial outcome of their work. Trillium’s team was attempting to bridge this gap with a weekly manual data upload, but as Perso noted, this process was “not consistent”. It was a time-consuming and unreliable way to get a clear, consolidated view of the business.

That’s where Data Hub came in. Perso and his team saw Data Hub as the perfect solution to this problem. Instead of relying on inconsistent manual imports, Data Hub was used to establish an automated, continuous connection that pulls financial and placement data from StaffSuite directly into Bullhorn Analytics. This custom integration shows how Bullhorn can bring together a company’s systems to unify data that would otherwise remain separate.

But the true value of the integration isn’t just in the data transfer itself: it’s in what the data enables. As Perso put it, for external data to be useful, “not only must anyone be able to easily see the picture it’s painting, they must be able to take action on any insights they find.” With this actual revenue data now residing in Analytics, anyone in the organization can easily self-serve and generate a report in a tool designed for non-data geeks. They can see revenue data on a specific client or a particular division, for instance, sidestepping the need for a request to a data analyst or waiting for a non-editable monthly report! What’s more, since everything is inside Bullhorn, recruiters and salespeople can click through to take immediate action or use tools like Bullhorn Automation to perform activities at scale.

One of the most powerful examples of this is in cash application, the process of matching a customer’s payment to the correct invoices. By bringing invoice data from StaffSuite into Bullhorn Analytics, Trillium can report on invoice aging by division or customer. They can then use Bullhorn Automation to set up alerts, turning a passive report into a proactive business process that helps them better manage collections.

With their Data Hub integration, Trillium can leverage data like never before. For example, Trillium can build dashboards to see how profitable each recruiter and client is. They could also look at the time it takes from a placement’s creation to the final payment to find and fix any delays in their process. By connecting financial outcomes back to their talent acquisition efforts, they can even see which recruiting channels lead to the most profitable placements.

The challenges Trillium faced are not unique. Many agencies use a variety of specialized tools, from screening and referencing software to telephony systems, that hold valuable data. Data Hub offers a solution for every kind of integration. For our Marketplace Partners, Bullhorn is building pre-configured, turnkey connections that make integration fast and simple. For others, Bullhorn can create bespoke, custom integrations to bring any type of data into Bullhorn Analytics.

With Bullhorn Data Hub and Analytics, agencies like Trillium can bring important data from external systems into the platform everyone uses, giving every employee a clear view of business health and the ability to make smarter, more confident decisions.
